Mentor Protocol
Mandated Reporting:
“Staff members of a medical or other public or private institution, school, facility or agency, and who, in the course of their employment, occupation or practice of their profession, come into contact with children shall immediately notify the person in charge of the institution, school facility or agency or the designated agent of the person in charge when they have reasonable cause to suspect on the basis of their professional or other training or experience, that a child coming before them in their professional or official capacity is a victim of child abuse.”
If you see any signs of child abuse or neglect, tell your Site Coordinator or Site Director within 24 hours, or Penn is held liable for anything that may happen to the child. Better safe than sorry!
CSSP Absence Policy:
Every mentor should be on site when indicated by his/her schedule. If a mentor must call out, they should alert their coordinator prior to the commitment. Absences are unexcused if no prior notice is given. In emergency cases, the coordinator should be contacted as soon as possible.
This policy can be held to higher standards at the discretion of the site coordinator.
Course of Action in case of Unexcused absences:
- Warning from Site Coordinator
- Meeting with Site Coordinator to discuss the issue
- Meeting with Site Coordinator and Director of CSSP
- Dismissal from the CSSP family
Mentor Expectations:
- Wear your t-shirt EVERY TIME
- Be mentally PRESENT while on site (cell phones, homework, engagement)
- Use discretion when bringing snacks on site.
- Be a positive presence
- Be patient
- Maintain a positive attitude with scholars, staff and other mentors.
- Use positive language
- Be HYPE!

New Work-Study Students- Process independently, then reimbursed
Returners- Process independently
Pennsylvania Child Abuse History Clearance
- fill out with black or blue ink
- use current Philadelphia address
- County: Philadelphia
- Purpose: School
- Mail with $10 money order
Criminal Background Check
- go to https://epatch.state.pa.us/Home.jsp
- Submit a New Record Check
- pay $10 with credit card
FBI Clearance
- go to https://www.pa.cogentid.com/index_dpw.htm
- Register online
- pay $36 with credit card
- take receipt to UPS for fingerprinting from 10am-4pm
You cannot go onto site without a Criminal Background check and receipts from the other two clearances!
New Volunteers only:
Fill out Child Abuse Clearance Form
Go to the Netter Center (133 s 36th St, Floor Five) between 10am-4pm.
At room 515, ask Glenwood. If he is not in his office, go to room 519 and ask for Linda or Yetunde. They will send in your Child Abuse Clearance Form and fill out the Criminal Background Check and FBI Clearance with you. You can then go to UPS for fingerprinting from 10am-4pm.
